Letters are being accepted for the following Board Positions:

Executive Board of Directors: 2-year term

Vice President of Cheerleading:

The Vice President of Cheerleading, with the Director of Cheerleading, represents SWOLYF at league meetings. The Vice President of Cheerleading screens coaching applicants, designates coaches to cheerleading squads, and handles all business pertaining to cheerleading. The Vice President of Cheerleading is responsible for the ordering of merchandise at the cheerleading level with the final approval to be determined by the Executive Board. The Vice President of Cheerleading shall review all offers for cheerleading competitions in the area and make the determination of which competitions are Organizations will compete. The Vice President of Cheerleading will be responsible for coordinating and delegating competition details and responsibilities. The Vice President of Cheerleading must be 21 years of age and have some knowledge of cheerleading (experience necessary) and will conduct weekly coaches’ meetings. The Vice President of Cheerleading shall also be responsible to accept complaints in the best interest of the Organization from the Director of Cheerleading, parents, and members of the Organization at the cheerleading level and refer them to the Board of Directors as needed at the following regular meeting. The Vice President of Cheerleading will determine if a separate fundraiser is required for cheerleading expenses and represent her determinations to the Executive Board for approval. The Vice President of Cheerleading will have the responsibility of coordinating any cheerleading fundraiser and the accountability of the funds raised and the proof of records.

Secretary:

The Secretary shall record the minutes of the meeting of the members and of the Board of Directors in one or more books approved for that purpose; see that all notices are duly given in accordance with the provision of these bylaws or as required by law be custodian of the Corporate Records and the Seal of the Organization; keep a register of the post office addresses of each member which shall be furnished to the Secretary by such member; and perform all duties incident to the office Secretary and such. The Secretary will organize the league Picture Day and end of the year banquet day. He/She is responsible for ordering awards for each athlete to be presented at the end of the year banquet. The secretary will also take responsibility for other duties as from time to time may be assigned to him/her by the President or the Board of Directors.

Athletic Director:

The Athletic Director, (Previously known as the Director of Rules -DOR) is responsible for attending all SWML or other league meetings and providing monthly reports to the Board on the substance of those meetings, shall be present at all weigh-ins, and shall be present at during Home Games for all five tackle football team games. In the event that any discrepancies in rules arise, The AD has the responsibility to work with the Officials and the opposing team’s AD to resolve said discrepancy. The AD is responsible for working with the League to schedule and secure all regular season, playoff and the Super Bowl games and their respective sites. The AD shall also work with the Registrar and the Director of Team Moms to ensure that players’ documentation is in order, they are able to weigh in and are subsequently eligible to play. The Athletic Director will also work with the Vice President of Football to ensure that players are rostered correctly.

General Board of Directors: 1-year term

Director of Concessions:

The Director of Concessions is responsible for all aspects of running the concession stand, including but not limited to, purchasing, maintaining proper receipts and inventories, delivering the concession items to the home game field. The Director of Concessions will work with any two of the President, Vice Presidents, Treasurer, or Secretary in counting receipts from concession sales. The Director of Concessions is expected to be present for all home games, unless approved by the executive board members and a designated replacement is established.

Director of Sponsorships:

The Director of Sponsorships is responsible for building and managing partnerships with local businesses and community sponsors to support our youth cheer and football programs. This role involves going out in the community and being face to face with potential sponsors, maintaining sponsorship packages, and building strong relationships to ensure ongoing support. The Director of Sponsorships also works with the board to organize sponsor events and activities, ensuring sponsors receive recognition and visibility. This position is ideal for someone passionate about youth sports and skilled in community engagement and relationship-building.

Director of Team Moms - Football:

The Director of Team Moms has the responsibility of overseeing the Team Moms for all levels for their respective sport. And ensuring that each Team Mom is carrying out their duties that allow for their Team to function throughout the season.

The Director of Team Moms (Football) works directly with the Registrar to secure registration forms, birth certificates, and medical forms for each participant in their respective group. The Director of Team Mom’s (Football) will work with the Registrar and the Athletic Director (AD) to ensure that the required documentation is in order for each player, and maintained strategically in respected team books, so that the players will be eligible for the annual weigh in - and for the season.

Director of Team Moms - Cheer:

The Director of Team Moms has the responsibility of overseeing the Team Moms for all levels for their respective sport. And ensuring that each Team Mom is carrying out their duties that allow for their Team to function throughout the season.

The Director of Team Moms (Cheer) assists the VP of Cheer and the Director of Cheer throughout the season. The Director of team moms for cheer will maintain communications with the cheerleading team moms, ensure team moms have and maintain adequate equipment and first aid supplies needed. The Director of Team moms for Cheer will collect and organize paperwork from the squad team moms as needed. The Director of Team moms for Cheer will also maintain the team rosters for all squads.

Director of Cheerleading:

The Director of Cheerleading (hereinafter referred to as DOC) along with the Vice President of Cheerleading represents SWOLYF at league meetings. The DOC shall report directly to the Vice President of Cheerleading. The DOC will be responsible for uniform distribution and maintenance. The DOC must be 21 years of age and have some knowledge of cheerleading (experience preferred) and will assist with the weekly coaches’ meetings. The DOC shall submit suggestions for coaching placement with the final approval from the Vice President of Cheerleading and the Executive Board. The DOC shall submit any and all offenses of the coach staff with her determination or approval of discipline with final determination made by the Vice President of Cheerleading and the Executive Board. The DOC shall interact with the parents and players on feedback of coaches and league issues, reporting all findings to the Vice President of Cheerleading. The DOC shall be responsible for distributing surveys to parents and participants of the program and submitting their responses to the Vice President of Cheerleading and the Executive Board as it pertains to the cheerleading program.

Director of Social Media:

The Director of Social Media has the responsibility of maintaining and developing the Corporation’s website and Social Media accounts listed as, but not limited to, Facebook, Instagram, Tik Tok. He/she defines the architecture and tree structure of the website. He/she may work with an interface designer (the vendor) to help with navigation. He/she is directly responsible for the following: the editorial content, coordinating IT development for upgrading or maintaining the site, and if necessary, website design. The Director of Social Media should possess technical knowledge, strategic vision, and a touch of creativity. Therefore he/she must have a technical background and good knowledge of web standards. The Director of Social Media will maintain all access information including log in information and passwords which should be documented and shared in record with the board President and Secretary. All website changes/updates or concerns must be reported to the Board at the monthly meeting.

Director of Volunteers:

The Director of Volunteers is responsible for all aspects of managing and coordinating parent volunteers for all home games and special events throughout the season and postseason. The Director of Volunteers will create / manage and maintain a system for volunteers to sign up for events throughout the season and postseason. The Director of Volunteers will work with the registrar to ensure that volunteer deposits are accounted for at the beginning of the season. The Director of Volunteers will create a spreadsheet to validate the parent’s sign in and out at all games and events to receive the family deposit back at the end of the season. The Director of Volunteers will work with the treasurer after the last home game/volunteer opportunity to assist and coordinate with the creation and disbursement of reimbursement checks to Outlaw families. The Director of Volunteers is expected to be present for all home games, unless approved by the executive board members and a designated replacement is established.

Director of Apparel & Merchandise:

The Director of Apparel shall be responsible for the design and development of multiple apparel and merchandise options for sale opportunities throughout the season. The Director of apparel will present apparel and merchandise designs for board approval prior to ordering. The Director of Apparel will maintain and organize inventory and custom orders. He/she will be responsible for Outlaw family communications regarding orders, the ordering process and delivery. The Director of Apparel will work with the treasurer to ensure that proper payments are obtained for orders as well as purchase orders paid in a timely manner.

Director of Fundraising:

The Director of Fundraising is responsible for coordinating the fundraising efforts for the Outlaws season. The Director of Fundraising will provide multiple fundraising options, fundraising events, and organize our lottery card fundraiser. The Director of Fundraising will present options to the Board of Directors to be agreed upon before commencement of said efforts. Director of fundraising will work closely with the Treasurer and the Director of Sponsorships to ensure that all fundraising efforts are beneficial and accounted for financially. He/She will provide receipts and/or other documentation to show profitability in a transparent manner. The Director of Fundraising role requires strong communication skills, creativity in fundraising approaches, and a commitment to engaging the community in support of the Oak Lawn Outlaws.
